A cemetery inventory can be commissioned by the cemetery manager/administrator, i.e., the entity responsible for operating and managing the cemetery—e.g., a parish, a municipality/city, the administrator of a municipal cemetery, a company, or an organizational unit managing the cemetery. The request can be submitted by a person authorized to represent the administrator (e.g., a parish priest, director, manager, or an authorized representative).

Which data is public and which is visible only to the administrator?
The scope of visible information depends on the configuration of a given cemetery, but most commonly:
Can I use eCmentarze without internet access?
No. eCmentarze works online in a web browser, so an internet connection is required to use the map and search feature. If the signal at the cemetery is weak, it’s a good idea to save the location (sector/plot/row) in advance or take a screenshot of the map.
Is eCmentarze compliant with the GDPR?
Yes. eCmentarze is designed and implemented in a way that supports GDPR compliance (including access control, user roles, and accountability/auditability of operations). It is also important to note that the GDPR applies to personal data of living individuals; as a rule, data relating to deceased persons is not covered. Therefore, publishing information about buried individuals in the eCmentarze system is consistent with applicable regulations.
What is the eCmentarze website?
eCmentarze ist ein Online-System zur digitalen Verwaltung eines Friedhofs. Es ermöglicht das Anzeigen einer interaktiven Friedhofskarte, die Suche nach Gräbern und bestatteten Personen sowie das schnelle Auffinden einer Grabstelle (Sektor/Feld/Reihe). Für die Verwaltung ist es ein Werkzeug zur Führung und Aktualisierung des Registers, und für Besucher ein einfacher Weg, ein Grab zu finden und grundlegende Informationen einzusehen.
Can I use the eCmentarze system on my phone?
Yes. eCmentarze works in a web browser, so you can use it on a phone and other mobile devices (Android/iOS) without installing an app. The interface is mobile-friendly, making it easy to search for a person, check the grave location, and use the map while visiting the cemetery.
Who should I contact if I want to update my relatives’ data in the eCmentarze system?
For data updates, please contact the cemetery administration directly (cemetery office / parish office / cemetery manager). The manager is responsible for making changes in the records. We encourage you to use the options below:
1) “Contact” tab on the cemetery page
On each cemetery page in our system, you’ll find the “Contact” tab in the top-right corner. It takes you to a contact form and to any contact details published by the manager (optionally: phone, email, office hours). When you use the form, your message is sent to the manager’s email inbox.
2) The specific grave record (grave card)
If your request concerns a specific grave, open its grave card. On the right side of the screen you’ll see the buried persons’ details, and just below them there is an “Update data” button. Clicking it opens a dedicated request form that automatically includes the grave identifier—so the manager immediately knows which grave you mean.
3) List on the main page
On the cemetery’s main page, at the very bottom under the map, there is a list titled “Holders of the graves listed below, please contact us.” For each grave, there is a phone icon on the right side of the table; when you hover over it with your cursor, the cemetery manager’s phone number will be displayed.
Can I light a virtual candle on a loved one’s grave?
This option is available at selected cemeteries. It allows you to symbolically commemorate the deceased by adding a “virtual candle.” The candle is displayed publicly on the relevant entry/grave record.
How does it work for visitors?
- The user finds the specific grave.
- Under the grave details, there is a “Light a virtual candle” button (“Zapal wirtualny znicz”).
- The user completes a short form (payer details and contact info—email/phone).
- The user can add a short message, an “intention.”
- The user makes an online payment (e.g., instant transfer, BLIK, payment card).
- The virtual candle then appears publicly on that grave record.
Can I pay online to extend the grave right/lease?
This option is available at selected cemeteries. It allows you to pay for an extension without having to visit the parish office or cemetery office in person.
How does it work in practice?
- The user searches for the grave in the system.
- The system displays burial details: grave number, fee/validity date, and lease status.
- Under the grave information, there is a “Online offering for the grave” button (“Ofiara na grób Online”).
- The user fills in a short form (payer details and contact info—email/phone).
- The user selects the extension period (e.g., 10 years / 20 years).
- The user makes an online payment (e.g., instant transfer, BLIK, payment card).
- The user receives a payment confirmation and an electronic confirmation of the extension. The grave is automatically extended in the system.
Does the system show a route to the grave and directions to the cemetery?
Yes. eCmentarze shows the grave/cemetery location on the map and lets you generate walking directions to a grave and driving directions to the cemetery directly via Google Maps.
Walking route to the grave:
Each grave’s dedicated page includes a “Navigate to the grave” button (“Prowadź do grobu”). You’ll find it on the cemetery map, just below the burial details. After clicking it, you’ll be redirected to Google Maps, where you can easily plan the route and use navigation on your phone.
Driving route to the cemetery:
On each cemetery’s individual page there is a “Contact” tab. At the bottom of that page you’ll see a map with a “Get directions” button (“Wyznacz trasę dojazdu”). Clicking it redirects you to Google Maps, allowing you to plan your trip and navigate to the cemetery using your phone.
Why can’t I find a specific cemetery in the eCmentarze system?
- The cemetery has not yet been inventoried or imported into the eCmentarze.pl system.
- The cemetery is still being inventoried and the public view has not been launched yet.
Why can’t I see my relatives in the eCmentarze system?
The most common reasons are:
- The cemetery has not yet been inventoried or imported into the eCmentarze.pl system.
- The cemetery is still being inventoried or the database is being completed—so not all graves and records have been entered yet.
- The record may contain a typo or a different spelling (e.g., variations in the surname, double surnames, abbreviated first names), which can prevent it from appearing in the search results.
- The data may be incomplete, for example due to illegible information on the headstone.
Can I add a photo or a remembrance to a specific grave or a particular buried person?
Yes. The system offers the option to purchase “Memory Plaques” (Tabliczki Pamięci)—a service that allows you to create a virtual memorial/biography for the deceased on the eCmentarze portal (visible on the selected grave). In higher packages, you can also order a QR code plaque to be placed on the headstone. After scanning the QR code with a phone, visitors can quickly open the memorial page and view the added materials.
The option to purchase a “Memory Plaque” is available in each grave’s record, right below the information about the buried individuals.
As a deceased person’s family member, can I create an account in the eCmentarze system?
No. Accounts in the eCmentarze system are created and managed exclusively by the cemetery manager/administration (cemetery office). If you would like to report a correction or add information, please contact the administration of the specific cemetery directly.
What should I do if I forgot my login details for the eCmentarze system?

What if the cemetery manager changes?
If the cemetery manager/administrator changes, access credentials and permissions can be transferred to the new managing entity to ensure continuity of records and system operation. The handover process depends on formal arrangements and the scope of data—we help securely transfer the database and adjust access for the new administrator.
Can I import cemetery data from an external program into the eCmentarze system?
Yes. In many cases, it is possible to import data from external systems—for example from Excel/CSV files, from existing electronic records/cemetery books, or from competing software. The scope and method of import depend on the data format and what information the database contains (e.g., graves, buried individuals, location details such as sector/plot/row). After reviewing the files, we help adjust the structure and transfer the data safely.
What does the cemetery inventory process look like step by step?
The inventory process usually consists of several stages:
- Defining the scope of work – together we determine what will be inventoried (part or all of the cemetery, grave data, buried persons’ data, additional elements).
- Collecting materials – we review available plans/maps, cemetery books, records, and files (e.g., PDF/DWG/Excel) and decide how they will be transferred into the system.
- Fieldwork – we take drone photos to create the cemetery map and photos of the graves.
- Map development and layout – we prepare a digital cemetery plan (sectors/plots/rows).
- Data entry and verification – we complete the database (graves and buried persons) and verify consistency of locations and descriptions.
- Handover and training – we deliver the finished system, show how to use the admin panel, and agree on how future updates will be handled.
- Publication and launch of the search tool – we publish the map and online search, and configure data visibility.
Can eCmentarze be integrated with an existing parish/municipality website?
Yes. eCmentarze can be integrated with your website. The eCmentarze system can generate a dedicated embed code that allows the site to be embedded on another website. The most common options are adding a link/button or embedding the search tool and map (e.g., in a “Cemetery” or “Grave Search” section). This way, users can access eCmentarze directly from the parish/municipality website.
What makes up the cost of a cemetery inventory?
One of the key advantages of eCmentarze.pl is the ability to choose the scope of the inventory. Our company is one of the few that offers not only a full cemetery inventory, but also the option to purchase an “empty” system with a map so you can carry out the inventory yourself or import data from an external database. This option can significantly reduce the overall cost of the process.
However, in a standard cemetery inventory process, the final cost typically consists of the following elements:
System modules:
- Online payments module – enables parishioners to make payments online (e.g., grave lease fees).
- SMS module – reminders about expiring leases and information about ceremonies/events.
- Advertising module – the ability to display banners for sponsors and local businesses.
- Documents module – allows attaching scanned documents to each grave record.
- eZnicze module – a virtual candle feature that website visitors can light.
Data digitization:
- Import from other databases – migration of data from existing systems.
- Entering fee/holder information – manual completion of financial and holder data by our staff.
- Entering complete information from cemetery books – full digitization of historical records.

- Printing cemetery books – a paper copy of the full database, including binding and embossed titles on the covers.

Is maintaining an account in the eCmentarze system paid?
Maintenance of the cemetery account is paid. The fee should be settled by the cemetery manager based on an invoice sent by the Administrator. An annual billing period is assumed. The fee covers maintaining the cemetery data in the portal, providing access to basic functionality, and administrator-introduced updates ensuring the portal remains compatible with new versions of web browsers. Fees related to the maintenance of the system’s basic and optional functions will be indexed at the beginning of each year by the indicator of change in the national average salary as published by Statistics Poland (GUS).
